Creating your first checklist in Timlup is easier than it seems. In a few minutes you’ll have your checklist published, with its recurrence, schedule, and assignment. We’ll walk you through it step by step.
Creating the checklist
Go to Listas → Nueva lista (Lists → New checklist). The creation form opens with the following fields:
- Nombre (Name, required): the title employees will see.
- Instrucciones (Instructions) and enlaces de referencia (reference links) (optional): to add context or supporting documentation.
- Local (Location, required): the location the checklist belongs to.
- Recurrencia (Recurrence, required): when the checklist is generated.
- Franja horaria (time slot) or horas explícitas (explicit times): when it must be done.
- Color de tarjeta (Card color) and etiquetas (tags) (optional): to organize and distinguish checklists visually.
Fill in the name and the location, and you can start configuring the rest.
Recurrence and schedule
Choose the recurrence that best suits your operation:
- Diaria (Daily)
- Semanal (Weekly)
- Mensual (Monthly)
- Anual (Yearly)
- Fecha específica (Specific date)
Then define the schedule: you can use a franja horaria (for example, from 8:00 to 10:00) or indicate horas explícitas (for example, at 9:30). You can also adjust the late margin, which by default is 45 minutes and can be changed for each checklist.
Who it’s assigned to
Assignment is required. You can assign the checklist to:
- área de trabajo (work area)
- cargo (role)
- empleado concreto (specific employee)
In the portal, the employee finds the checklists that correspond to them (by their area, role, or name) in the «Mías» (Mine) tab, and the rest of the location’s checklists in «Todas» (All).
Adding the tasks
Each checklist is made up of tasks. There are two types:
| Type | Description | Example |
|---|---|---|
| Tarea normal (normal task) | A checkbox that gets marked as done | Clean the bar |
| Registro (record log) | A numeric value with unit, minimum, and maximum | Cooler temperature: between 2 and 6 °C |
You can reorder tasks by dragging them and mark the most important ones as prioritarias (priority). Before publishing, you have a vista previa (preview) to check exactly how the employee will see the checklist.
Publishing
A checklist can remain in borrador (draft) or publicarse (be published).
- Borrador: it doesn’t generate anything. It’s for saving work in progress.
- Publicada (published): when you publish a checklist with tasks, the lista de HOY (today’s checklist) is created instantly.
In other words, the moment you publish, assigned employees already have their checklist available to start working.
Keep in mind that on the Gratis (Free) plan, you can have up to 5 active checklists simultaneously.
