Paper checklist cost calculator: paper vs. digital checklists
Enter your own numbers – no studies, just arithmetic. See what paper checklists and WhatsApp chasing cost you, and compare digital checklists from €19 a month.
How the paper checklist cost calculator works
This calculator measures two things: the hours your team spends filling in paper checklists, and the hours your managers spend chasing those checklists on WhatsApp or in person. You enter your own figures, so the result reflects your operation, not an industry average.
The arithmetic is simple and transparent. Monthly team hours = sites × checklists × minutes ÷ 60 × open days. Manager hours are calculated the same way with your chasing time. Each total is multiplied by your hourly cost, added together, then annualised.
We do not promise that Timlup eliminates all that time. Your team still has to complete the tasks. But with digital checklists they stop printing, filing and being chased. The real saving depends on how much waste you currently have.
Why paper and WhatsApp cost more than you think
With paper checklists, someone prints, distributes, collects, checks and files. Then a manager spends time each day confirming that tasks were actually done, often by sending WhatsApp messages or walking from site to site. That hidden time adds up quietly across every location.
Digital checklists with PIN-signed entries change that. Staff complete tasks from a phone or tablet, you get a daily summary by email, and managers can see a simple traffic light for each site. There is no printing, no filing and no chasing to find out if something was missed.
