When you have a single site, you can see everything at a glance. You know who has opened, whether the kitchen is spotless, whether closing was done properly. The problem starts when you open a second, third or tenth site. You can no longer be everywhere at once, and operations start slipping through your fingers: the site that opens late, the one that skips cleaning because “no one came in today anyway”, the one that interprets the protocol its own way. And you only find out when it’s too late: a complaint comes in, a bad online review or, worse, an inspection.

Each site ends up running by its own rules. Information reaches you via WhatsApp, in scattered messages, with no order or evidence. You end up making decisions in the dark, rushing from one place to another like a firefighter putting out fires. And the feeling of losing control only grows with every new opening.

With Timlup, that loss of control ends. You define the recurring task checklists that matter once — opening, cleaning, maintenance, closing — and replicate them across all your sites. From a single dashboard, without leaving your office, you see in real time which site is compliant and which isn’t, with signed, tamper-proof evidence. The operational standard stops living in your head and becomes a system that works the same in every corner of your business.

What multi-site operations are (and why they get out of control as you grow)

Managing operations across several sites isn’t simply multiplying what you did with one. It’s a qualitative leap that breaks direct visibility. In a single establishment, a quick walk around or five minutes with the manager tells you how the day is going. With several sites, that immediacy disappears. Each site becomes a black box from which you only get fragments of information, almost always after something has already gone wrong.

Growth brings divergent standards. Without a common system, each manager adapts procedures to their own style: one prioritises speed, another detail, another simply skips steps they consider unnecessary. Reports, if they exist at all, arrive in different formats — a photo here, a voice message there — and can’t be compared. Daily operations become impossible to audit.

The owner or manager ends up as a firefighter going from site to site putting out fires. Relevant information gets lost in messaging groups, and service consistency — the very thing that made you grow — fades without you noticing. In the end, the quality you offer depends on whoever is in charge that day at each site, not on a company standard.

The real problem: the standard travels with the owner, not with the system

When the opening protocol, cleaning checklist or closing routine lives only in the owner’s head — or in the shift manager’s — each site ends up interpreting the standard its own way. What’s non-negotiable for you becomes optional at another site. And the worst part is you have no way to prove it, because there’s no evidence.

Without a system that records what was done, who did it and when, you decide by perception. “I think site A is doing well” or “I think site B is lagging.” But you have no data to back it up or act on. The consistency you spent years building breaks the moment you grow beyond what you can personally supervise.

The operational standard needs to travel with the system, not with you. It has to be available to everyone, with no ambiguity, and leave a trail you can review from anywhere. Only then can you delegate without losing control and scale without quality suffering.

How Timlup brings multiple sites under control

The same checklists, standardised across all sites

You define your recurring task lists once — opening, dining room cleaning, restocking, closing — and replicate them across all sites with one click. Each site sees exactly the same tasks, in the same order, with no room for interpretation. When you open a new site, it starts with the standard from day one, without you having to travel or train anyone on the fly.

A single dashboard: see all your sites without being in any of them

From a single dashboard, the manager sees the compliance status of all their sites in real time. No switching screens, no calling anyone, no waiting for an end-of-day report. Each site updates instantly as employees tick off their tasks. The visibility you had when there was only one site is back, but now for all of them.

Time zone per site: “on time” means the same at every site

Each site is configured with its own time zone. The time slot within which a task is considered on time or late is calculated according to that site’s clock, not yours. This is critical if you have sites on the mainland and in the Canary Islands, or if you operate across several countries. A closing task at 23:00 in Madrid can’t show as “on time” if it was done an hour later in Tenerife. Timlup respects the real local time of each establishment, so the compliance metric is fair and comparable.

On time / late per site: you find out immediately, not from a complaint

Each task is marked as completed on time or out of time. If a site is late opening, skips a clean or doesn’t carry out closing when it should, you see it instantly on the dashboard. You don’t need to wait for a customer to complain or for the manager to explain. The information reaches you before the problem escalates.

Compare compliance across sites

The dashboard lets you see at a glance which site is up to date and which is lagging. No need to check site by site, ask for reports or cross-reference data. The comparison is immediate and points you to where you need to intervene. Over time, you can identify patterns, see which time slots fail most at each site and make decisions based on real data.

Signed, tamper-proof evidence and export by site

Each completed task is signed with a personal, non-transferable PIN. The system records who did it, at what exact time and at which site. That history cannot be modified: not by the employee, not by the site supervisor and not by the manager. You can also export the record as a CSV by site and by period. That evidence is what a health inspection or a claim will ask for: what was recorded, who signed it and when.

Examples by business type

Restaurant chain. With several sites, opening and closing have to be identical everywhere: switching on equipment, checking fridges, cleaning the kitchen and dining room, reviewing bookings. With Timlup, the same task lists for restaurants are run at every site, and the manager sees from a single dashboard whether any site has skipped a step. Service quality doesn’t depend on who opens that day.

Multi-store retail. Visual merchandising, opening the till, restocking shelves, checking prices. These are tasks that repeat every morning in every store. With standardised retail store checklists, the area manager can verify that all stores have completed their routine before opening to the public, without having to visit them one by one.

Franchise. The franchisor needs to verify that every unit meets the operational standard that gives the brand its meaning. With Timlup, they define the master checklists and roll them out across all franchises. That ensures a consistent customer experience without needing to implement a full management system. The same applies to gym chains, clinics or cleaning companies with multiple centres: the pattern is the same, the sector doesn’t matter.

How to set up your multi-site operations with Timlup

If you’re looking for the product page, with prices per site, plan comparison and an example dashboard with several sites, it’s at multi-site task control.

  1. Create each site with its time zone. Set up your sites in the dashboard and assign each one the time zone it needs. This way, task schedules are aligned with each site’s actual clock.
  2. Define the master checklists and replicate them across all sites. Create the recurring task lists once — opening, cleaning, closing, whatever you need — and assign them to all sites. A new site starts with the standard from day one.
  3. Set up employees with their PIN per site. Each person receives a personal code they’ll use to sign off tasks. You know who did what, at which site and at what exact time.
  4. Open the dashboard and watch compliance in real time. At a single glance, you see which tasks are completed, which are late and at which site. No calls, no messages, no waiting.
  5. Compare, spot the lagging site and act. The dashboard shows you the comparison between sites. You immediately identify where you need to intervene and make decisions with data, not intuition. Multi-site is enabled with the Pro plan, and from there everything fits together so task traceability across sites is complete and watertight.

Frequently asked questions

How many sites can I manage with Timlup?

There’s no practical limit. You can set up as many sites as you need. Multi-site functionality is available on the Pro plan, and the dashboard is designed so you can supervise dozens of sites without the information becoming unmanageable.

Can each site have its own time zone?

Yes. When you create each site, you assign the time zone that corresponds to it. On time and late tasks are always calculated according to that site’s clock, not the manager’s time. So a task scheduled for 08:00 at each site is considered on time if it’s completed at 08:00 local time, wherever it is.

Can I use the same checklists at all sites or customise them per site?

Both. You can create master checklists and replicate them across all sites with one click, so the standard is identical. You can also make specific adjustments at a particular site if its operations have any particularities, without affecting the rest.

Can I see in real time which site is behind?

Yes. The single dashboard shows you the status of each task at each site in real time. If a task is delayed, it shows as Late instantly. You don’t need to wait for a report or for someone to tell you.

Does it work if my sites are in different sectors or aren’t restaurants?

Absolutely. Timlup is cross-sector. It doesn’t matter whether you manage restaurants, retail stores, gyms, clinics or cleaning centres. The pattern is the same: recurring tasks that need to be carried out to a common standard across several sites. If you’re looking for a Trail alternative without the POS or inventory bloat, here you’ll find an approach focused on operational compliance with evidence.

Can I compare compliance across sites and export it?

Yes. The dashboard lets you visually compare each site’s level of compliance, so you can instantly spot which one is falling behind. You can also export the history as CSV by site and by period, from both Metrics and Reports. It’s the way to leave behind the Excel spreadsheet per site and have a solid, traceable record that’s always at hand.

Timlup is the digital layer for recording and proving your tasks and checks: it does not approve, certify or replace your self-monitoring plans, your team's mandatory training or the judgement of your health authority. Compliance remains the responsibility of the business owner.
